There are a bunch of people who are looking for color copiers to replace their older color printers and their normal copiers as a new method of having just one machine instead of two.  A good cost saving move, if done correctly.  A nightmare if it is done poorly.  What are some things to consider if you are thinking about consolidation of your current printer and copier?

  • Driver Settings — If you are going to consolidate, you need to DEFAULT the copier to Black and White and make users choose color.  If you do not, every document will be printed in color.  What once cost $.01 will now be $.10 — Not a good trade off.
  • Workflow — Some copier companies want to consolidate a whole copier fleet in Denver because they want to own all the prints.  They don’t consider what was once a 10 foot walk is now 100 feet.  Distractions happen and work productivity decreases.
  • Workload — Is everyone already waiting to use the printer or copier.  if the queue is consistently clogged, consolidation is madness because no one will be getting work done.  If it is the other way, nothing printing, this is a good canidate
  • Reliability — If this consolidated color copier goes down, then what?  You need to know what the backup plan is if the color copier goes down.  Color copiers have more service calls than monochrome copiers do.  If you had 3 service calls last year, expect 10 to 12 this year with the color device.  Color copiers have more potential problems because there are generally 6 times more consumable types of items.

We have a customer who has a few extra Lexmark X644e’s due to a few facilities merging.  If you are looking for an amazing copier deal for a small office, this is perfect.  It has been under maintenance with us for the last year and 3 months since it has been new.  The copiers have less than 2,000 total pages (they have a max duty cycle of 225,000 pages per month!) on them and they are in excellent shape.  This company bought a bunch of them and paid over $2,000 each.  They sold for $2,499 in the open market.  The best thing is we have compatible toner available for this unit to make the cost per print about $.005 per print.  ($149 for a 32,000 page cartridge!)

I recently went down to the Denver Tech Center and went to the Xerox facility to borrow their WorkCentre 6400.  It is a color multi-function which is great with color and it is letter/legal capable rather than tabloid capable.  I took it downstairs and put it into my car. 

I got the Xerox WorkCentre 6400 to the place I was going to demo, grabbed it to take out of my car (my back is still sore from this…) and then I got it to the customer location.  I took it upstairs, got everything plugged in and then the drawer wouldn’t shut all the way.  I couldn’t get it to work because it was constantly saying there was a paper jam.  OK…  now what?  I took the copier back to the Denver Tech Center, brought it back up to Xerox and there was that awkward…  “I think I broke your copier conversation.”  So, what happened?

When transporting a larger copier, you want to make sure it goes on a flat surface.  The more contours there are, the more likely you will be to damage drawers (like I did).  My seat cushion jammed up into a spring, broke a spring in the drawer mechanism and forced Xerox to order a new tray because of my mistake.  If this happened to you, it would be likely you would have to pay for this service call.  I was lucky because it was not my copier, but Xerox’s copier. 

Tips for Moving a Copier:

  1. Take out consumables if shipping the copier
  2. Strap tightly in vehicle so there isn’t a lot of shifting
  3. Place on solid level surface
  4. Follow manufacturer guidelines for moving their specific model
  5. Try to keep this process at an absolute minimum.  The bigger a copier, the less it should be moved.
