Finding that perfect multi-function unit for the small office in Denver can be brutal.  We have had customers asking for a good color copier under $1,000 and we have joked these copiers are delivered by unicorns and set up by gnomes.  The Xerox Phaser 6180MFP/D is a surprising exception.  It seems like this desktop copier is going to server Denver businesses well.  The copier is 31 pages per minute in black and white and 20 pages per minute in color.  The best part is that after the rebates, this copier can be as cheap as $550 or so!

One awesome thing about the Xerox Phaser 6180MFP/D is that it uses the same toner as the $6,000 to $7,000 color printers and copiers from Xerox use.  Of course, it is in smaller yield since this is not a high volume machine, however, the Xerox Phaser 6180MFP/D is capable of producing prints which look like they came out of $6,000 or so printers!

So, essentially the “Free Color Printer” costs $2,782.80 more than if you had puchased the 8860 and purchased the consumables.  Now, if you are a realtor or a church…  then your “coverage” would be higher possibly doubling the Total cost of toner and maintenance line…   We have some cost per print programs that are $.06 or less regardless of coverage and this would be far better than paying $.20 or $.30 per print under the “Free Color Printer” program.

The idea of getting a color printer for free is definately appealing.  However, Xerox is a huge multi-national company for a reason.  Giving you a printer is to their benefit more than yours.  If you are considering their offering, please give us a call so that we can show you a better way to work with them.  Same printer for a much lower cost…  We got that for you.

So many people are looking at doing some scanning, so I thought I would give a quick review of what a Lexmark X65X series multi-function can do right out of the box.  If you aren’t interested in scanning, you can still look at our copier buying tips section and look at other pertinent information for your organization.

Here is a list of what you can get done (if properly set-up…)

  • OCR is included with the X65X series, free of charge, with Lexmark Scan Center on the CD.
  • Lexmark can route documents to an individual email, group email for group fax viewing, and tie into a fax server for distribution.  They can notify users when new faxes arrive, send secure faxes and receive an email with the password, then retrieve the fax on a MFP with the password.
  • Lexmark can authenticate through your existing network without having to set all this third part Scan Router software up (like with Ricoh, for instance).  You simply allow users to login through the MFP through badge access, proximity card, or login through the virtual touch screen keyboard and allow end users functionality based on their log in credentials for copy, fax, scan, etc.  This is all
    comes with the boxes with no additional software needed.  You can even setup profiles to scan to folders with a plugin in My MFP usb drive.
  • Lexmark can create 100,000 unique destinations of faxes, emails, FTP file sharing, profile processes, web link documents on their MFPs to Ricoh/Lanier’s 2000 destinations - free of charge.
  • Access to LDAP lookup, Kerberos authentication, SMTP v3, NTLM, internal MFP access to authentication is all possible and free of charge.
  • You can attach scans as PDF 1.6 , Secure PDF, JPEG, XPS, TIF. You can even send messages with the scans in email.
  • Scans come in at 600 X 300 or 600 X 300 dpi and down to 150 dpi for more simple scans.  Free of Charge.
  • You can do automatic scanning of size with auto document sensing from the automatic document feeder.  You can also use mixed original sizes of letter and legal.  All free of charge.
  • Why do I keep mentioning “Free of Charge?” …  basically because much of this is offered at a price by other manufacturers…  It’s good to know this is all “out of the box…”
  • Documents can be viewed through File Share from Scan to Network Folder. You can scan to an FTP server, scan to email, scan to web link/web server. Users can search documents on their network shared drive, even name the files.  Free of Charge.
  • You can view documents in Windows by Thumbnail, Icon, Detail and Time/Calendar through normal Windows sharing options.  Free of Charge.
  • You can even scan documents to yourself that you send to others through Scan to Email with a simple click of Send To Me too.  Free of Charge
  • With Lexmark Document Solutions Suite you could be notified when a new document is scanned to your folder with scripting in the process.  It would notify an end user that a new scanned file has arrived.
  • The Postscript driver for Lexmark MFPs allow you to fax from your PC without having to print out a copy of the document first.  Simply go into your application choose the Lexmark fax driver and send.  You will then be prompted to enter in the recipient’s name, phone number, enter in a message to them and their name.  Free of charge.
  • Receiving faxes can send to a group email for all users to view.  Free of charge.

Now if you take into account the Kyocera does not produce ozone, the cost per print is lower and the machine itself needs less scheduled service calls to keep down time at a minimum.  It may be worth looking into.  This is a large investment though, so we thought you might also want to look at this cs_500ci_series_presentation Powerpoint presentation!

Kyocera TaskAlfa 400CI Product Review

Most of this year’s new products have been released, and Kyocera Mita have released their new TaskAlfa series of copiers.  In this series there is the 40ppm TaskAlfa 400CI color copier.  This is a robust color copier with a rated duty cycle of 160,000 impressions per month.  (Keep in mind duty cycle and recommended workload are NOT equivelent terms… We’d recommend a maximum of 35,000 impressions per month on this copying machine.)  The cost per print on this is super low with a toner only cost of $.029 per print.  If you add maintenance and imaging units, then you are likely to see an all inclusive cost around $.06 per color page!

Key Features: One thing to be aware of is this copier does not produce ozone. (See ozone effects here). It comes standard with a dual scan document processor.  What does this mean?  Basically it means when you put a document in to scan, you do not have to watch it go in and out and in and out to scan the second side.  It goes through in one pass.

Color Quality: The color quality is very good, but I don’t personally think it is quite as good as the Xerox WorkCentre 7345 quite yet.  It is far better than the older CS 3232e or the 4035e’s are, but in my opinion have a little more distance to cover to get in the image quality class of the Xerox WorkCentre 7345.

If you are looking for a high production color copier which does very good color and is extremely reliable and won’t make your people sick with ozone gas, then this is a copier you really need to consider!

I just got a message from a different copier rep here in town disputing some of the information here and since I like transparency, I thought I would include and address his objections…

“$.06 per page depending upon usage. Printing around 500 color copies per month is probably not going to get you this price. If you fall into the manufacturers specified recommended monthly volume (duty cycle) then you may get $.06 per page.”

This is sort of true, what he is saying, although I just did a quote yesterday for this device that was for 500 color pages a month and we were at $.062 per page.  So, if you do a decent quantity of Mono prints, you can still get $.06 per print on the color (at least with us)…  If you said I want to buy a $8,000 copier and print 20 pages a month of color and black and white…  I’d think you were nuts and would suggest you go to Kinkos.  Basically, if it can be cost justified to spend this much on a machine, you can get $.06 per print…

“30% less toner than what? This is highly subjective, and nearly impossible to prove unless you know the exact ink coverage that will be printed on every page.”

This was in reference to Kyocera’s claim that their TaskAlfa device uses 30% less toner than their previous models use (and also roughly 30% less than most competitors…)  …  Actually, this is not subjective and is quite simple.  Manufacturers rate cartridge life at a combined 20% — This means 5% of the page is covered with Black, Cyan, Magenta and Yellow.  Now when you add the 5% for the 4 colors you get 20% coverage (not it is possible because of this to get over 100% color coverage.)  Now how a claim like this be made by a manufacturer?  It’s actually quite simple.  They are subject to ISO rules, in fact you will see this on Kyocera’s spec sheets…

This unit is manufactured according to ISO 9001 quality standards and ISO 14001 Environmental Impact Standards

What does this mean, well the ISO 9001 will assure items such as rated cartridge life, machine integrity (speed) are consistent.  Now when the cartridge is rated for 28,000 pages it had gone through a process that is extremely consistent.  Of course, there will be allowed tolerances, but there is a statistical average at work here… This is all assumed, so to say you can’t know for sure how much toner is being used is making the wrong set of assumptions.  It is assuming an actual customer location rather than a scientific lab setting.  The scientific lab is where ALL manufacturers make their yield declarations from.  Why?  Well, I have no idea what coverage you put on your pages and neither does the manufacturer.

So, to take this statement and show how a manufacturer would make such a claim.  If it took 225g of toner in the last engine to print 25,000 pages and a new cartridge and engine technology made it so the same 25,000 pages could be printed with 157.5g of toner, the manufacturer would rightly say this engine uses 30% less toner.   When you see that it uses 30% less toner in all your lab tests at different coverage levels, you can tell a customer the device indeed uses a lot less toner.  This does not even necessarily mean it’ll be cheaper, it’s just a claim about the environmental impact of the device.

Sample Scanning Application and Possible Solution…

Customer:

We have filing cabinets filled with contracts and invoices and want to have these migrate from paper copies to electronic copies.  We would like to be able to index a few fields like customer names and dates so that when we are looking for an invoice and contract, it would just be able to quickly retrive those from anywhere we can tie into the Network.  We don’t want to spend $10,000 or $20,000 on the solution because we just don’t think we use it constantly.  We use it enough to pay for a solution, but would like this to be simple and straightforward and work with our copier…  We run Small Business Server and Windows XP on the workstations if that matters.

Proposed Solution:

In your case scenario above KyoCapture Express with a Kyocera copier would be an excellent option.  Since you are running Server 2003, I would suggest downloading the Sharepoint Services 3.0 plug in as well as the SQL Express plugin.  Both are free and in conjunction with your current infrastructure, sevrver 2003, would give you a great Document Management Solution.  You could then have a process to input your customer contracts using the indexing criteria outlined below.   You could add the barcode option for less key input at the Kyocera MFP or add the desktop indexing component QuickCapture Pro for inputting to the process and routing to the SharePoint site.  
        Utilizing the SharePoint option gives you the ability to create multiple document libraries while utilizing the security features inherent in server 2003.  It also allows you to share the information contained within those libraries, set up multiple libraries and with the KyoCapture Express option allows you to build in multiple business processes.As with any solution you should also design a back up procedure for the SQL database and Sharepoint site.  This can be done easily with the suite described above.

Kyocera Mita 4035 Vs. the New Kyocera TaskAlfa 500CI Series

What are the differences between the Kyocera TaskAlfa 500CI and the Kyocera 4035e copier?  Both are “40 page per minute” copiers (the TaskAlfa 400CI), but that is about where the similarities stop.  Besides producing better color images, the TaskAlfa has been redesigned to be more reliable and easier to use than the Kyocera 4035e.
