Time for a Change!!

It is very obvious the copier industry is changing substantially.  I just finished going to the ITEX trade show as a exhibitor and I realized some pretty basic things about where the copier industry is headed.  First of all, it was interesting that at show for copier vendors, Ricoh, Kyocera, Canon and Xerox all choose not to attend or have a booth.  We have been hearing more and more through the grapevine that the big manufacturers are headed towards “managed services companies” as a whole.  The question is, why?

it became more and more obvious why this is the case as I was there.  I found that most copier companies do not really embrace technology.  They tend to be intimidated by it.  For example, in the database I have of over 900 printers and copiers, most reps seemed confused as to why a customer would want a legit side by side comparison.

If copier reps insist on doing business according to the good ol boys network they have used for years they will see themselves losing more and more business to manufacturers and IT companies.  It is time to change and use copier technology to our advantage!

Color coverage seems to be a concept many people in Denver struggle grasping.  I thought I would quickly describe what color coverage is and how it affects your bottom line.  Let’s look at a specific example and show you how this one factor can vary dramatically.  If you owned a HP Laserjet 4700DN and you were printing standard business color (20% — broken down as 5% of the page is covered with Cyan, 5% with Magenta, 5% with Yellow and 5% with Black) then you are going to pay about $.10 per print.  If you did this with 3,000 pages per month and did this for 5 years, you’d spend about $18,000 over 5 years.  Each percent you are off one way or the other is going to be about $900! 

If you figured everything at 20% and it was actually 22% (very insignificant difference) your budget will be off by $1,800 when you are done with the 5 years.  If, conversely it is only 18%, you’ll be $1,800 better.

What to do when your copier rep is laid off...

Your copier rep in Denver has just been laid off or they are quitting for greener pastures elsewhere.  This is always a frustrating time because in general people don’t like copier reps really well so when you find a good one, it really stinks to lose them.  If your copier rep in Denver has been laid off or has quit, there are a few things you need to do before it is too late!

First of all, in any business relationship, there are always unspoken modes of operation.  Maybe your copier rep knows you won’t pay for shipping, so they take care of this detail for you.  Maybe you need to have everything in a formal PO, maybe you overpaid on something, so they have been giving you cheaper toner.  Whatever arrangements you have made, it is wise to get these into writing (It is wise to do even if they are not quitting!).

I know it feels awkward to ask your rep to send an E mail outlining these procedures.  If you don’t it is unlikely the copier company will honor these special arrangements.  You will get frustrated and probably find a new copier company “because they don’t do things right.”

Xerox ColorQube is Finally Here!

You may have heard about the Xerox ColorQube 9201, the Xerox ColorQube 9202 and Xerox ColorQube 9203, this copier in Denver is a beast.  First of all, most Denver customers are not aware this color copier is over $20,000 for the box.  The ColorQube 9203 claims that it goes “up to” 85 pages per minute, but the specs also says that it prints at 50 pages per minute.  What’s the deal with this?  Basically, it is just saying that if resolution doesn’t matter for a specific job, this is the top speed.  50 pages per minute is a better rating.  It is interesting, the wax technology is quite different than traditional toner models out there.  First of all, you can add more wax while you are printing and copying.  It is pretty easy to put the wax in the copier.  I took a picture on my phone with a wax block in my hand which you can see here…

The interesting thing about all of the wax based printers is that you have a non-toxic supply and the petroleum needed to produce the supplies are much lower than the traditional copier companies toner production needs.

Of course the biggest appeal to the Xerox ColorQube 9201, ColorQube 9202 and ColorQube 9203 is that you can get some color for less than 2 cents a page.  Xerox has broken down their cost per prints into 3 color catagories.  These are called Black plus useful color, Everyday Color and Expressive Color.  Even expressive color is in the 5 to 6 cents a page range…

You may be nearing the end of your copier lease and you are hearing your copier rep sing a song of “bigger, better, at the same price.”  It sounds great at first, after all, why not go faster and be able to do more and if you can do it at the same costs as you currently have, all the better.  Here is the problem, you are probably paying too much for your copier in Denver!

Let’s change the product to illustrate the point.  You go to your local Starwhatever coffee house and let’s say they are charging you $8.00 per cup of coffee.  (It seems like they do sometimes) Anyway, this is way too much, and them promising to give you 32 oz instead of 20 oz does not make the $8.00 cost a good deal.  A good deal is based on fair market value and what you get for that value.

When you are buying a copier in Denver, don’t get suckered into thinking that just because the copier is faster than what you already have for the same price, that the new copier is a good deal.

Now you know you are going to need a new copier in Denver, but you are not really wanting to commit to a $10,000 to $12,000 copier right now.  You could also look at cheap copiers in Denver, but do you really want to deal with the bad quality?  Ultimately, you may want to consider a copier rental in Denver!  Why?  Because you aren’t stuck in a long term copier contract, but you also don’t have to deal with a bad copier.

Copier rentals are perfect for locations where you may be thinking about opening a new office, but aren’t sure if it will be successful or not.  Maybe you find that you are going to go ahead and have a large 6 month project.  These are circumstances where copier rentals in Denver make sense.  Who knows, maybe you are just going to be doing a show or a convention…  These are all good times to get quotes on a copier rental. 

When is a bad time?  When you know you are going to be using the copier in Denver long term.  This is when a copier rental in Denver is rather silly.

When you sell as many brands of printers and copiers as we do, it gets a bit overwhelming at times trying to keep up on all of the options.  As of today, we sell HP Copiers, Kyocera Copiers, Copystar Copiers (same as Kyocera), Ricoh Copiers, Lexmark Copiers, Okidata Copiers, Xerox Copiers and a few other copiers here and there.  It gets overwhelming because of the sheer volume of devices out there.  If we look at Lexmark, for instance, here is what is in their product line along with a little summary of some of the devices…

Lexmark Black and White Printers:

Lexmark E120 -Small office or personal use only

Lexmark E260/E360 – Still for small office use.  Maybe 2 reams a month or so of paper.

Lexmark E460 — Still small office, up to about 2,500 sheets of paper a month.

Lexmark T65o Series, This series contains the Lexmark T650, the Lexmark T652, and the Lexmark T654 printers.  These are god high volume black and white printers which we would feel comfortable having up to 15,000 pages a month printed on.

Lexmark Color Printers:  There are a bunch more printers in this lineup!

Lexmark C540 Series, includes the C540, the C543 and the C544 printers.  These are solid low use devices.  These get expensive if you do a lot of color printing so that’s not recommended.

Lexmark C734, Lexmark C736, and Lexmark C780 and Lexmark C782 are excellent color printers for a mid sized office.  They compete well with the HP Laserjet 4700 series. The cost per print is reasonable, but not the best in the market.

Lexmark C935 color printer.  This used to be a Xerox printer as you will find it looks very similar to the Xerox Phaser 7760 or the Xerox Phaser 7750.

Now these are just the laser printers of one brand.  When you multiply this by 7, you might be able to see how this can get confusing.  This is why we built our free printer comparison tool (to the right of the page…)

I recently helped unbox a Xerox Workcentre 6400 copier in Denver.  It came in packaged well, even though UPS had the device upside down…  which was different for us, considering it came on a pallet…

After we got this device unpackaged, we plugged it in, crossing our fingers just hoping the UPS driver didn’t mess up the copier by having it upside down.  We plugged it in, and things seemed fine, except it was loud.  Really loud.  I thought it sounded like a fan working too hard.  I started going around the machine and it was the air filter in the back left corner (if you are facing the device.)  I would grab it and it would sound fine.  I thought, maybe it is just this machine.  I then helped unbox another Xerox WorkCentre 6400 copier, and same result.

So, what did I do?  I just took a piece of tape and made the filter so that it would not move.  The sound went away.  Best solution? Probably not, but it fixed my issue.

Overall, I have been quite happy with the Xerox WorkCentre 6400, this has been my one complaint!
